Tooling Marking & Documentation Requirements

In addition to the requirements identified in the Buyer’s Purchase Order Terms and Conditions, the following provisions also apply to any and all Tooling provided by the Supplier.

Tooling Marking

All tools must be permanently marked as specified by the Buyer with the Tool ID # as provided on the Buyer’s Tool Specification Form (see Exhibit A).

Permanent marking includes metal tags, etchings or stampings.  If the Buyer or the Buyer’s customer requires the tools to be tagged using their own proprietary tags, the Buyer will provide the tags to the Supplier, indicating which tool shall be marked with which tag.  In the event metal tags are not provided to the Supplier at the time the Buyer’s Purchase Order is issued, the tags will be provided to the Supplier once they become available.

Tooling Documentation

Suppliers must submit the documentation as identified below at the time of invoicing.  Tooling invoices received by the Buyer without the required tooling documentation will be rejected and returned to the Supplier. 

The following is a list of the required tooling documentation to be submitted by Supplier.  The Buyer reserves the right to request additional information as it deems necessary from time to time to satisfy its Customers’ or its own internal requirements. 

1.       Supplier invoice with each tool itemized, including quantity 

2.       Supplier’s invoice must reference the Buyer’s Purchase Order Number

3.       Include a copy of the Buyer’s Purchase Order issued to the Supplier for the Tooling being invoiced

4.       Complete the Buyer’s Tool Specification Form (Exhibit A) distributed to the Supplier at the time the Buyer’s Purchase Order is issued

a.       See the Tool Category Sheet (Exhibit B) to complete the Tool Category & Description sections of the Tool Specification Form

5.       Provide acceptable photographs which clearly illustrate the Tool ID # and the tool’s function/part configuration

a.       Photo #1 – Close up of the Tool ID #  (Exhibit C)

b.       Photo #2 – Photo of the tool showing function/part configuration (Exhibit D)

c.       Photos must be labeled with the tool description as indicated in the Buyer’s Tool Specification Form. (Exhibit C and Exhibit D)

Additional Tooling Documentation Required

In addition to the required tooling documentation identified above, the following Tooling Documentation must also be submitted when:

1.       Tooling located at a supplier, submit an approved PSW (Part Submission Warrant)

2.       Tooling includes Dies, Photo# #2 above must be in an open position (Exhibit E)

3.       Tooling includes multiple quantities of the same tool; each individual tool must be included in a single photograph. (Exhibit F)

4.       Tooling includes final inspection gages, each gauge must be supported by a part print identifying the dimensions being checked by the gage and a print of the gage, if requested by Dana

Exhibit A

The Buyer’s Tool Specification form is distributed to the Supplier with the Buyer’s Purchase Order and must be fully completed for each tool.  The required information includes the following:

Tool Supplier

Tool Category:  See Exhibit B for the appropriate category

Tool Description:  See Exhibit B for the appropriate description

Dana PO#:  Reference the Buyer’s purchase order number

Tool Location:  Location of the tool, either Supplier location or Dana facility location

Quantity:  Indicate the Total Quantity for each tool.

Total Cost:  Indicate the Total Cost for each line item in the Tool Specification.

Existing or New:

Tool Dimensions:

Tool Weight:

Total Life in Pieces:

Capacity

Number of Cavities:

 

Exhibit B

The Tooling Category worksheet is distributed to the Supplier with the Buyer’s Purchase Order and specifies the Tooling Categories and Tooling Descriptions for completing the Buyer’s Tooling Specification.

Exhibit C

Mark the tool as specified in the Buyer’s Tool Specification form and provide a close-up photograph of the Tool ID#.


Exhibit D

Photograph showing the function/part of the tooling.

Exhibit E

Provide a photograph of the Die in the “open” position.

 

Exhibit F

Multiple quantities of the same tool must be included in single photograph.
